System-governed training and certification of the authorised sales and service network: the Academy, a standalone module within GAIA — one calendar of sessions, clear roles from importer to dealer employee, assessment with a signature sheet, and compliance with a full audit trail.

From sign-up to certificate: the Academy

A trained, certified network is not a nice-to-have in automotive retail — it is a contractual obligation towards the manufacturer and a daily operational need.

Yet in many networks it still lives in spreadsheets, e-mail threads and binders.

For Summit Motors Ljubljana we have built the Academy — a standalone module within GAIA for system-governed training and certification of the authorised sales and service network.

One calendar, clear roles

All training sessions and events live in one place: a list and a calendar of published dates, filtered by sales and after-sales, with statuses from draft to closed. Roles see and do exactly what belongs to them: the importer’s administrator creates, publishes, approves and assesses; a reviewer sees everything without editing; a dealer manager enrols their own people; an employee sees their sessions and their own compliance.

Managers enrol their teams, the importer approves — or rejects with a written reason that is delivered to the right recipients. Capacity is enforced by the system; only the importer can consciously go beyond it.

From sign-up to certificate

A training course carries its area, sub-area and level, prerequisites and the assessment method; each session has its date, delivery mode, capacity and location. Records are prepared as drafts and consciously published; invitation-only sessions limit enrolment to a selected group.

After delivery the assessment closes the loop: attendance, results, an optional comment and the signature sheet. Completing the assessment writes the training into each participant’s compliance record — and if a correction is needed, the assessment can be reopened, fixed and closed again, with every step recorded.

Compliance you can prove

The compliance view shows achieved levels, current enrolments and completed trainings per employee — from mechanics’ levels to master curricula. Manual level changes require an author and a comment, and a full audit trail with export answers the question every OEM audit asks: who did what, and when.

Notifications follow the process automatically — on schedule changes, on rejections, on messages from the organiser — so the network learns about changes without another mailing list. And because the Academy lives inside GAIA, the network works in the tool it already uses every day.

Network competence is no longer a feeling — it is a record you can show.

A closing thought

Certification programmes are only as good as their records.

When the system governs the process — publication, enrolment, approval, assessment, audit trail — the certificate at the end means something.

Train the network in the system it already works in — and let compliance write itself.
